What Your Sales Workflow Can Enforce
Each rule sits where a deal changes stage or changes hands, and every decision is logged against the deal it touched.
Exit rules for each pipeline stage
Name the fields a deal needs before it can advance, like a confirmed budget for Proposal. A deal pushed ahead with one of them blank stays put, and its owner hears which field.
SDR handoffs with an acceptance clock
Booking a first meeting requires a short handoff note. The account executive accepts it inside the window you set, or the meeting goes to the sales manager to hand to someone else.
Discount approvals by percentage band
Reps approve their own discounts up to the limit you set. Larger ones go to the sales director in Slack, a second band adds the CFO, and the order form waits for the last yes.
A closed-won record for onboarding
Marking a deal won opens an onboarding record that carries the contract value and every promise made during the sale. The onboarding manager who takes it is chosen by contract size.
Days in stage on one dashboard
See how long each open deal has sat in its current stage, rep by rep. Handoffs nobody has accepted yet and discounts waiting on a director are pinned to the top of the board.
Your sales rules as code you keep
Stage rules and approval bands export to your GitHub repository on paid plans as readable code. Each deal and approval is stored as a row in a database your team owns and can query.
Sales Workflows to Build
Missing budget and decision maker keep a deal in Discovery
Teodor Halbrook drags the $38,400 Linden Ridge Hotels deal from Discovery to Proposal. Proposal takes a deal only once its budget is confirmed and its decision maker is named. Both fields are blank. The deal stays in Discovery, and Teodor gets a Slack direct message naming them.
window.awbMockup = { stageExitRules: "Build stage rules for my sales pipeline. A deal can only move to Proposal once it has a confirmed budget and a named decision maker. If a rep drags a deal forward with either one blank, keep it in its current stage and send the rep a Slack direct message listing the missing fields.", sdrToAeHandoff: "Build a handoff from my SDRs to our account executives. When an SDR books a first meeting, they fill in a note with the pain point and buying timeline. The account executive for that region has 24 hours to accept. Credit the SDR when it is accepted, and send unclaimed handoffs to the sales manager.", discountApprovals: "Build discount approvals for my sales team. Reps can give up to 15% off on their own. Discounts above 15% need the sales director, who approves in Slack, and anything above 25% also needs the CFO. Hold the order form until the last approval, then log who approved it on the deal.", closedWonHandoff: "Build a handoff from sales to onboarding. When a deal is marked closed won, open an onboarding record with the contract value, the technical contact, and anything promised during the sale. Assign a named onboarding manager to contracts over $25,000 and have them hold the kickoff within five business days." };
The SDR's meeting waits 24 hours for an AE
Keziah Lisowski books a first meeting with the 240-person carrier Corriveau Freight and notes its pain point and buying timeline. Tobias Ardent, the regional account executive, is asked to accept. Accepting credits Keziah with the meeting. A handoff still unclaimed after 24 hours goes to the sales manager.
22% off needs one more yes before the contract goes out
Anouk Severin offers Brambleton Dental Group 22% off a $52,000 annual plan. Reps can give up to 15% on their own. Anything above that goes to the sales director, and above 25% the CFO signs as well. Henrik Adair, the director, approves from Slack, and the order form goes out at $40,560.
Once it closes, onboarding inherits every promise
Marking the Thistledown Veterinary deal closed won at $27,600 opens its onboarding record. The technical contact and a promised sync with the clinic's scheduling tool come with it. Contracts over $25,000 get a named onboarding manager. Yusra Thibault is assigned and holds the kickoff within five business days.
How to Build a Sales Workflow
Seven steps to map the stages and handoffs of your sales workflow, set the rules for each, and build it with Emergent.
Write the stages in the order deals move through them, using the names your reps already say out loud. Next to each, note the one or two fields that must be filled before a deal leaves it, such as a signed order form before Closed Won.
Mark each point where a deal changes hands, such as SDR to account executive or account executive to onboarding. Name the giver and the receiver, and how long the receiver has to accept. A handoff with no owner is where a deal goes quiet.
Give each discount band a percentage and a named approver: reps up to 15%, the sales director up to 25%, and the CFO above it. Add the exceptions too, like multi-year terms that always need finance. Plain sentences are enough to build from.
Describe all of it in one prompt. Emergent builds the handoff forms and approval steps around your rules, plus a board showing how long deals sit in each stage. When a rule changes next quarter, change it by prompting.
Connect the CRM your reps already work in, HubSpot or Salesforce for example, and deals sync in and out with their stage changes. Connect Slack for direct messages and approvals. Reps keep the screens they know while the rules run behind them.
Before launch, run last quarter's deals through the app. Check that each stage rule would have held the deals it should have and passed the rest, and that every discount reached the right approver. Correct any rule by prompting, then replay.
Turn it on for one team, such as mid-market, for a month. Watch handoff acceptance times and days in stage on the dashboard. Once the rules hold up, add the next team and retire the spreadsheet that used to track approvals.
Why Build Your Sales Workflow With Emergent?
